Commercial invoice: what to prepare for customs

An invoice describes goods for customs. A shipping label serves a transport purpose and does not automatically replace it.

What to collect

Include the parties, date and document number, reason for shipping, precise item descriptions, quantities, values and currency. Commodity codes, origin and weight may also be needed. Instead of “parts”, explain their use and material. Match the document to the actual contents and order.

When there was no sale

A gift, sample or return does not mean zero customs value. Confirm the valuation basis and appropriate document: a pro forma invoice does not suit every transaction. Check language, electronic submission and paper copies for the route. Do not apply non-EU import rules to every movement within the EU.

Official carrier instructions explain the data and preparation requirements. DHL Express · FedEx
